Reports and closing a month
Every figure in Books' reports comes from what's in the books, and each one opens the lines behind it. Closing and locking a month keeps what you've reported from changing.

Open Books, then Reports
On a computer, choose Books in the sidebar. On a phone, tap More, then Books. Tap Reports.
Pick a report
Profit and loss, Balance sheet, Trial balance, General ledger, Cash summary, Aged receivables (who owes you) and Aged payables (who you owe).
Choose the dates
Set From and To, or the day. Where it's offered, Compare with the period before or the same dates last year, and filter by Tracking. Tap Show.
Dig in
Tap an account to see its transactions, and a line to see its journal.
Download or print
Tap Download CSV for a spreadsheet, or Print for the report alone, dark on white.
Make a manual journal
On Reports, tap Journals, then New journal. Add lines until it balances, say what it's for, and tap Post journal. A manual journal can be reversed once, with a reason.
Close and lock a month
On Reports, tap Close and lock. Each month shows a checklist: bank lines reconciled, no draft bills, tax returns closed, everything in the books. Close it, then an Owner taps Lock it. Nothing more can go into a locked month.
Good to know
- Locking a month locks every month before it too. An Owner can lock with the checklist not met by saying why.
- Unlock it needs an Owner, the authenticator app and a reason, kept with the month and in Activity.
- Anything that arrives late for a locked month goes into the first open day, marked late.
- Journals Books posts from orders and invoices are corrected where they came from, and the books follow.
- Retained earnings are worked out for you, so there's no year-end journal to make.
