Help/Books/Import a bank statement and reconcile

Import a bank statement and reconcile

Bring in your bank's statement, match each line to what's already in the books, code the rest, and your books agree with the bank to the cent. Statements come in as CSV files exported from your online banking.

3 minutesAnyone with Books access; bank rules need full accessWorks on a phone

  1. Open Books, then Banking

On a computer, choose Books in the sidebar. On a phone, tap More, then Books. Tap Banking, or Reconcile at the top of Books. Each money account shows its balance in the books and its last statement.

  2. Import a statement

Tap Import beside the account. Under The statement, pick the CSV file (4 MB at most) and tap Check the statement.

  3. Say which column is which

The columns are usually guessed from the headings. If not, under Which column is which?, pick the date, the description and the money (one column, or money in and money out), how Dates are written and the row The headings are on. They're kept for next time.

  4. Check, then import

Lines already in the books aren't added again, and a gap since the last statement or a balance that doesn't follow on is pointed out. Tap Import, which says how many new lines there are.

  5. Match each line

Open the account, on the Reconcile tab. Each line shows what in the books looks like it, best first: a payment, an invoice, a bill or a transfer. Tap Match.

  6. Code the rest

No match? Tap Spend money or Receive money, pick the account, the tax and what it was for, and add a part if it's more than one thing. Tap Save and reconcile. Money between your own accounts is a Transfer.

  7. Ignore what isn't real

A bank's own correction and its reversal, say. Tap Ignore and say why. It stays on the statement and out of the books, and can be taken back from Transactions.

  8. Make it a rule

Bank fees, a Stripe payout, the rent: on Banking, tap Bank rules, then New rule. Type the Words in the line and say what the rule does. With Reconcile by itself on, lines that fit are done as each statement comes in.

Good to know

  • The statement's balance, the balance in the books and what's reconciled show at the top, and a difference the open lines don't explain is pointed out.
  • Undo takes a match or a coded line back, and reverses anything it posted.
  • Matching a line to an open invoice marks it paid in Invoices too. Books access is all it takes.
  • Move money, on Banking, records money moved between your own accounts.
  • CSV files only for now. A bank account in another currency imports, but matching its lines comes later.
  • Bank rules need full Books access. Deleting one that reconciles by itself asks for the authenticator app.
